Event sheet

One document for the event's day: run of show, crew, equipment, contacts and what has been agreed. Print it, or share a live link with crew and the hirer.

Overview

The event sheet is built from what is already on the event. Change something in the event editor and the sheet follows. Open it with Event sheet in the event editor's header.

People without an account get a live link. Each link is an edition for one audience, and each audience sees only what is meant for it.

Key concepts

Full sheet

What you and your team see: everything, including internal notes and contacts' notes.

Crew edition

Everything except contacts' notes. A contact's phone or email only where you chose to show it.

Hirer and performer

No internal notes, staff phone numbers or internal documents. Only the contacts you chose, with only the details you ticked.

Choosing which contacts go out

Contacts are not shown on external sheets automatically. You choose per contact.

1

Open the contact

In the event editor, go to Contacts and add or edit the contact. A contact needs a role.

2

Switch on Show on the external sheet

Under External event sheet. The hirer and performers then see the name, role and company.

3

Tick what else to show

Show phone and Show email appear when the contact has them. Both start unticked.

4

Check the list

A contact that goes out has the badge On external sheet.

Writing down what has been agreed

1

Open Agreements

In the event editor, go to Agreements. A new event has to be saved first.

2

Write it down

Load-in, catering, what the venue provides, terms. Line breaks are kept, up to 4000 characters.

3

Save

Every audience sees it on the sheet: your team, crew, the hirer and performers. Empty the field and save to remove it.

Checking what others see

1

Open the event sheet

Use Event sheet in the event editor's header.

2

Choose View as

Full sheet, Hirer or Performer. A banner says whose view you are looking at.

3

Go back

Back to the full sheet ends the preview.

Sharing a live link

1

Publish

Under Share, choose Publish for crew or Publish for the hirer.

2

Copy the link

Copy link copies it. The link is shown only now, so copy it before you leave the page.

3

Replace or revoke

Copy a new link replaces a leaked link and the old one stops working at once. Revoke stops it at once.

Frequently asked questions

A performer's approval says the sheet has changed.

Agreements and the contacts a performer sees are part of what they approve. Change either after an approval and the sheet needs approving again.

My contacts disappeared from the hirer's sheet.

Contacts are no longer shown automatically. Switch on Show on the external sheet for each contact the hirer should see.

Can I print the sheet?

Yes, with Print. Each performance starts on a new page. Use the browser's save as PDF if you need a file.

Someone gets "not found" when they open the link.

The link may have been replaced or revoked; copy a new one. If no link works for your organisation, ask Stageboxx support to turn on sharing of event sheets.
