Overview
Events are the core entity in Stageboxx. As a vendor, everything you sell revolves around events — from concerts and theater shows to workshops and conferences. Each event can have multiple performances (specific dates and times) and each performance can offer different ticket types at various price points.
Stageboxx handles stock automatically when you set up performances and ticket types, so you can focus on creating great experiences.
Key concepts
Event
The parent entity representing your show, concert, workshop, or conference. Contains the name, description, images, venue, and category. An event can have one or many performances.
Performance
A specific date and time occurrence of an event. For example, a theater show running for a week would have 7 performances. Each performance has its own capacity and ticket availability.
Ticket Type
A pricing tier for a performance. Common examples include Standard, VIP, Early Bird, or Student. Each ticket type has its own price, capacity, and sales period. Stock pools are created per ticket type.
Creating an event
Follow these steps to create a new event and start selling tickets.
Basic information
Enter the event name, description, category, and venue. Add images and any additional details that help customers understand what to expect.
Add performances
Add one or more performances with specific dates, times, and capacity. Each performance represents a single occurrence of your event.
Configure ticket types
Set up pricing tiers for each performance — Standard, VIP, Early Bird, or any custom category. Define the price and capacity for each ticket type.
Stock auto-created
Stock pools are automatically created for each ticket type. You don't need to manage inventory manually — Stageboxx handles availability tracking, reservations, and capacity enforcement.
Publish
Review your event and publish it. Once published, the event appears on your public page and customers can start purchasing tickets.
Day schedule
Each performance has its own day schedule: the running order your team works from on the day — load-in, soundcheck, doors, sets, changeover. It is for internal planning only; visitors never see it on the event page. It is printed on that date’s day sheet for the crew.
- •Open it — In the event editor, go to Performances and choose Show schedule under a date.
- •Items — Each item has a start time, an optional end time, a name and optional notes. Times move in 5-minute steps, and a new item starts where the previous one ended, so a running order builds quickly.
- •One schedule per performance — A three-night run has three schedules. Fill in each one; they are not copied between dates.
Checklists
Event checklists help you stay organized before, during, and after your event. Create custom checklists with tasks that you and your team need to complete.
- •Pre-event — Venue setup, technical checks, staff briefing, supplies ordered
- •During event — Door opening, scanner ready, schedule running on time
- •Post-event — Venue cleanup, financial reconciliation, attendee follow-up
Duplicating an event
Choose Duplicate in the event editor to start a new event from this one. The copy is a draft: it is not published, and nobody is assigned its tasks.
Name the copy
Leave the name empty and the copy is called after the original with "(copy)".
Pick the first performance
Every performance moves the same number of days and keeps its times. A performance whose room is booked at the new time is left out, and you are told which.
Choose what to copy
Tick the parts to bring along: run of show, staffing and equipment needs, tasks, contacts, accommodation and catering. The count beside each says how much it holds. The cover image and gallery always come along. Documents, tickets, performers and staffing are never copied.
Duplicate
The copy opens in the editor. If something could not be copied, a summary lists it with a link to the copy.
Event cancellation
Cancel the event
Mark the event as cancelled from the event editor. This prevents new ticket sales immediately.
Automatic refunds
All ticket holders are automatically refunded. The refund process runs in the background and customers receive email confirmations.
Stock released
All committed stock is released and reservations are cleared. The event page shows a "Cancelled" status.
Frequently asked questions
Is there a limit on how many performances an event can have?
No, there is no hard limit. You can add as many performances as you need — whether it's a single show or a multi-month run with daily performances.
Can I edit an event after it's published?
Yes. You can update the event name, description, images, and other details at any time. You can also add new performances or adjust ticket prices. Changes take effect immediately.
What happens when I cancel an event?
All ticket sales stop immediately. Existing ticket holders are automatically refunded, stock is released, and the event page displays a "Cancelled" banner. You'll receive a confirmation once all refunds are processed.
Does Stageboxx support recurring events?
Yes. You can set up recurrence rules (daily, weekly, monthly) when adding performances. Stageboxx will automatically generate performance dates based on your pattern, saving you from adding each date manually.
