Overview
Under Accommodation in the event editor you list who is staying where: the hotel, number of rooms, check-in and check-out, the booking reference and whether it is confirmed with the hotel. If nobody on the event needs a hotel, tick No accommodation needed instead.
Key concepts
Entry
One booking: who the rooms are for, the hotel, the rooms, the dates, a reference and notes.
Confirmed
Tick Confirmed with the hotel when the hotel has confirmed. Until then the entry shows as Pending.
No accommodation needed
A choice for the whole event. The form collapses to a note, and entries you already added are kept.
Adding accommodation
Save the event first
Accommodation is added to a saved event. Open it and go to Accommodation.
Add accommodation
Choose Add accommodation. Under For whom, write who the rooms are for, for example the band or the crew.
Fill in the booking
Choose the hotel, the number of rooms and the check-in and check-out dates. Check-out cannot be before check-in. Add the booking reference and any notes.
Confirm
Tick Confirmed with the hotel once the hotel has confirmed, and save.
When nobody needs a hotel
Tick No accommodation needed. The form collapses to a notes field, for example "The band lives in town". Entries you already added are kept but hidden while the box is ticked; untick it to see them and to add more.
On the event sheet
The event sheet shows the accommodation to your team, the crew and the performers, never to the hirer. When no accommodation is needed, the sheet says so with your note instead of listing entries. Duplicating an event can copy its accommodation, including the no-accommodation choice.
Frequently asked questions
Can the hirer see where the band is staying?
No. The hirer's sheet never shows accommodation.
I ticked No accommodation needed by mistake.
Untick it. The entries you had come back as they were.
