Stock Management

How Stageboxx automatically tracks ticket availability, handles reservations, and prevents overselling.

Overview

Stock management ensures that every ticket sold is backed by real capacity. When you create an event with performances, Stageboxx automatically creates stock pools that track how many tickets are available, reserved, and sold.

This means you never accidentally oversell, customers always see accurate availability, and abandoned carts automatically release their tickets back to the pool.

Key concepts

Stock Pool

A capacity container tied to a specific product or performance. It defines how many tickets (or items) are available for sale. One pool per product variant.

Reservation

A temporary hold on stock created when a customer adds a ticket to their cart. Reservations expire automatically after 15 minutes if the customer does not complete checkout.

Commit

When a customer completes payment, their reservation is committed — the stock is permanently allocated. Committed stock is only released if the order is cancelled or refunded.

How it works

The stock lifecycle runs automatically from the moment you create an event to when tickets are sold or released.

1

Event created

When you add a performance to an event, a stock pool is automatically created with the capacity you set (e.g., 200 tickets).

2

Customer adds to cart

A reservation is created, temporarily holding the requested quantity. The available count decreases immediately so other customers see accurate availability. The reservation lasts 15 minutes.

3

Checkout completed

The reservation is committed. Stock is now permanently allocated to this order. The sold count increases.

4

Cart abandoned

If the customer doesn't complete checkout within 15 minutes, the reservation expires automatically. Stock is released back to the pool and becomes available for other customers.

5

Order cancelled

If an order is cancelled after payment, the committed stock is released back to the pool. Availability updates immediately.

For vendors

  • •Automatic creation — Stock pools are created automatically when you add performances to an event. No manual setup needed.
  • •Capacity = available tickets — The capacity you set on a performance determines how many tickets can be sold. Change it anytime in the event editor, under Performances → Show tickets.
  • •Real-time monitoring — See how many tickets are available and sold at any time: open the event, go to Performances and choose Show tickets under a date.
  • •No overselling — The system ensures you never sell more tickets than you have capacity for, unless you explicitly enable overbooking.
Stock per date — under each date, Show tickets lists capacity, available and sold per ticket type

Frequently asked questions

What happens if a customer's cart expires?

The reservation is automatically released after 15 minutes. The tickets become available for other customers again. No action needed from you.

Can I oversell tickets?

By default, overselling is not allowed. The system will reject reservations that exceed the available capacity. If you need to allow overbooking (e.g., for events with expected no-shows), there is an AllowOverbooking setting that can be enabled per stock pool. This is off by default.

What if two customers try to buy the last ticket at the same time?

The first customer to add to cart wins — their reservation is created first. The second customer will see an "insufficient stock" message and won't be able to proceed. This is handled automatically and prevents race conditions.

How do I adjust capacity after creating an event?

Go to the Stock Management page in your admin panel. You can increase or decrease the total capacity of any stock pool. If you decrease below the number already sold, the system will warn you. Changes take effect immediately.
