Settlement Lifecycle

How money from an event gets reconciled, locked in, and marked paid — from draft to payout.

Overview

A settlement is the record of what an event owes or is owed — one settlement per event, itemizing gross ticket revenue, platform fees, VAT, and the resulting net payout to the counterparty (usually the vendor or venue running the event). Anyone on your team with settlement permissions can view them; editing and finalizing needs the Manage settlements permission, since this is real money moving between real accounts. Once a settlement is finalized and paid, it becomes a permanent, locked record — there's no undo, so the earlier draft stages exist to get everything right first.

Key concepts

Draft, Finalized, Paid

A settlement moves through exactly these three statuses, in order, and never backward. Only a Draft can be edited or deleted — Finalized and Paid are locked.

Line items

The individual entries that make up a settlement's total — auto-generated from the event's ticket transactions, or added by hand for anything the auto-populate step doesn't capture.

Counterparty

Who the settlement is paying out to — a name and optional email you record when you create the settlement, for your own records and any correspondence.

The 5-stage lifecycle

1

Create

Start a settlement for an event, with the counterparty's name and (optionally) email. Only one settlement is allowed per event — you'll get an error if one already exists.

2

Populate

Auto-generate line items from the event's ticket transactions: gross revenue including VAT, a VAT line per rate for visibility, the platform fee as a deduction, and the computed net payout. You can re-run this any time while still a draft — it clears the previous auto-generated lines first, so it's safe to refresh after a late sale or refund.

3

Adjust

Add, edit, or delete line items by hand — auto-generated ones included. Use this for anything auto-populate can't know about: a manual adjustment, a negotiated deduction, an extra expense to pass through.

4

Finalize

Locks the settlement — no more adding, editing, or deleting line items after this. Requires at least one line item. This is the point of no return: there's no unfinalize action, so this is the last moment to catch a mistake.

5

Mark paid

Once the payout has actually gone out, mark the settlement as paid. Only a finalized settlement can be marked paid, and — like finalizing — this can't be undone either.

Edit a draft and download the CSV

While a settlement is a Draft, Edit changes its counterparty, email and notes, and Edit on a line changes that line's description, category and amount. Anyone with the Manage settlements permission can do this; a finalized or paid settlement is locked.

Download CSV on any settlement saves its lines as a spreadsheet file, so you can reconcile them elsewhere. Anyone who can view settlements can download it.

Frequently asked questions

I need to dispute or correct a line item — how?

While the settlement is still a draft, just edit or delete the line item directly — including auto-generated ones. Once it's finalized, line items are locked and there's no built-in way to reopen it, so double-check everything on the Adjust step before finalizing. If you finalize something wrong, contact platform support.

Can I re-export the CSV after the settlement is paid?

Yes — the CSV export isn't limited to any particular status. Download it as many times as you need, whether the settlement is a draft, finalized, or already paid.

Can I delete a settlement?

Only while it's still a draft. Once finalized, a settlement is a permanent record and can't be deleted — the same one-way-door rule that applies to editing line items.

What if Populate doesn't add anything?

That means no ticket transactions were found for the event — usually because the event isn't linked to a billable product, or nothing has sold yet. Add line items manually instead, or wait until there's revenue to populate from.

Why can't I finalize my settlement?

A settlement needs at least one line item before it can be finalized. If Populate found nothing, add a line item by hand first.
