Overview
My schedule shows everything you are booked for, whichever organisation booked you. Open it from the app menu, under Calendar. The schedule is your own: you only see your own shifts and bookings, never anyone else's.
Key concepts
Shift
Time you work on an event or a booking, with the position you fill.
Organisation
Who booked you. If you work for several, all their bookings appear in one list, each labelled.
Awaiting your answer, Confirmed, Declined
A shift you are put on, at an event or on a booking, waits for your answer until you press Confirm or Decline. If you decline, the place is free again and the organiser sees it. Bookings that are not shifts read Booked.
What it shows
Three kinds of booking appear: shifts on an event's staffing (when a planner puts you on a need, such as sound engineer on a concert night), staffing on a booking (when you are put on a room booking or an arrangement) and lessons and bookings you take part in or hold yourself. Tickets you bought do not appear here; their emails carry their own calendar links.
What each row says
Each row shows the time (your own shift times when the planner set them, otherwise the performance's), the place (venue, room and address with a link to a map), what it is (the event or booking and your role or position), the organisation, and the status. A new shift reads Awaiting your answer, with Confirm and Decline on the row. This goes for shifts at events and shifts on bookings alike. Your answer covers the whole shift, every performance it spans, and for a recurring booking every occasion. Decline asks once more before it is sent, since the place then goes back to the organiser. Bookings that are not shifts read Booked.
Answering from the email
When you are put on a shift, the email about it carries two buttons for each shift still waiting for your answer: Confirm and Decline. You do not need to sign in. A button opens a page that says which event, position and time it is about; nothing is answered until you press the button on that page. The answer then shows in My schedule and for the organiser, just as if you had answered here.
Each link answers one shift, for you only, and works once: after the first answer both links for that shift are used up. They stop working when the shift starts, and at most 30 days after the email was sent. A link that has expired, been changed or is for a shift that was removed opens a page saying so, with a link to My schedule, where you can still answer a shift that waits for you.
The email also carries a calendar invitation (invite.ics) for each of your shifts, so you can add it to Google, Outlook or Apple Calendar with one click, without subscribing to your calendar feed. If the time or place changes, the next email updates the entry; if you are taken off the shift, or the performance is cancelled, it removes it. It is the same entry as in your calendar feed, so a calendar holding both shows it once.
Answering from your calendar. For a shift still waiting for your answer, Google, Outlook and Apple Calendar also show their own answer buttons. Accept (Yes) confirms the shift and Decline (No) declines it, just like the buttons in the email, and the organiser sees it the same way. Maybe is not an answer: the shift keeps waiting for one. The calendar answer counts only from the address the email was sent to, and only while the shift waits for an answer: once you have answered, a later change in the calendar does not change it. The buttons in the email are still the surest way to answer.
Upcoming and past
Upcoming shows today first, then three months ahead, day by day. Past shows the last twelve months, most recent day first. Older entries are not shown.
Assignments within a shift, and your tasks
An assignment within a shift is part of the shift, not a double booking. A shift is a place on a staffing, on an event or a booking. An assignment is taking part in a booking without a staffing place, such as a rehearsal in a production. If you work an evening shift 17:00–23:00 and the same organisation books you on a rehearsal 19:00–20:00, that is not a double booking. This holds when the assignment lies entirely within the shift and both are for the same organisation.
Two shifts always count as a double booking when they overlap, even when one lies entirely within the other. So does an assignment for another organisation during your shift, and an assignment with exactly the shift's times.
In My schedule the assignment shows inside the shift by default, indented under it, with only what differs from the shift: its time, role, status and your answer buttons. If you would rather see every row on its own, in full, choose Show alongside above the list. The choice is kept on your account until you change it, also after you reload the page. The buttons only appear when an assignment lies within a shift.
Your tasks stand on their day. A task with a due date sits at the top of the day as a short to-do list; a task planned for a time sits at that time among your shifts. Tick a task off right in the list, or choose Open to go to your tasks. Tasks on an event's checklist can be ticked off here; others you open from the link.
Subscribe in your calendar
At the bottom of My schedule you can see your bookings in Google Calendar, Outlook or Apple Calendar. Choose Create subscription link and copy the link, or choose Open in calendar app on your phone. How to add the link has the steps for each calendar.
Your calendar app fetches the feed itself, usually every few hours, so a change here shows there after a while. A shift waiting for your answer shows as tentative, and a shift you declined shows as cancelled.
The link is personal: anyone who has it can see your schedule. For your security it is shown only when it is made. If you need it again, or think someone else has it, choose Create new link: the old one stops working at once. Turn off removes the link completely.
What is in the feed: only your own bookings from the last 30 days to a year ahead, with time, place, what, organisation and your answer. No one else's name, email address or phone number is in it. We send nothing to Google, Microsoft or Apple: your calendar app fetches the feed. The feed is off until you turn it on, and you can turn it off whenever you like.
Frequently asked questions
A shift is missing from my schedule.
A shift appears once a planner has put you on it. Ask the planner whether you are on the need. A cancelled performance does not appear.
Can I change my answer or cancel a shift here?
You answer once, with Confirm or Decline. If you have answered and change your mind, or need other times, contact the organisation that booked you.
The link in the email says it does not work.
The link has expired (it lasts until the shift starts, at most 30 days), you have already answered, or the shift was removed. Open My schedule: a shift that still waits for your answer has Confirm and Decline there. To change an answer you have given, contact the organisation.
Can others see my schedule?
No. The page shows only your own bookings, and nobody else's contact details appear on it.
